Sales Order Tracker
The organisation is historically reliant on paper and print outs, resulting in numerous and on-going issues, such as misplaced orders, blown out lead-times, out-of-date paperwork on the floor.
By introducing a complete sales process tracker, a number of benefits were found:
- Increase transparency, and provide real-time updates to the entire organisation
- Easily track order progression and highlight any roadblocks using Asana's built-in status log
- Team members across multiple countries could remain involved and work across different time zones
- Using individual user accounts (previously using 1 shared) to optimise comments/tagging within the software; reducing email clutter

WARRANTY CLAIM TRACKER and template
Warranty claims often involve communication across departments (sales and customer service, warehouse and dispatch, design and engineering) to ensure the correct resolution is determined, and the correct parts / instructions are provided to the customer.
Creating a specific Asana project allowed for easy tracking and sharing of information.
Incorporating a template task with the required information for Sales to request ensured any new team members could quickly get up to speed, and reduced the need for back and forth emails with the customer; improving their overall customer experience.

TEMPLATES
To reduce unnecessary emails between sales and customers, my team and I created templates and shareable graphics to request specific and critical information used when completing customer CAD layouts.
The canopy measurement template below ensured all of the required information was collected in one email, and allowed the CAD team to complete the layout without roadblocks.

NRMA QUOTE TOOL
The organisation is highly dependent on receiving the correct information from customers, who, from time to time, don't know their full / correct vehicle information. Previously reliant on receiving specific images from the customer to allow a trained team member to identify the vehicle and it's minor differences between year/models/variants, I implemented a process for all sales team members to use, by 'piggy backing' off NRMA's online quote tool.
Although it's not 100% correct, every time - at a minimum it provides clues or raise questions to help ensure the correct parts will be sent to the customer.
An alternative solution was also put forward to partner with Redbook, however due to budgetary constraints it was not implemented at the present time.

VEHICLE SPECIFIC SALES BROCHURES
The business has operated for over 40 years, and a lot of information was stored in people's heads, not on paper for others to understand as easily. To assist sales team members with guiding customers to the correct outcome, vehicle specific brochures were created by my talented junior designer and I.
The intention was to help remove grey areas, creating more black and white to reduce on-going conflict between sales and management. By creating checklists, and set configurations, a sales person can easily talk a customer through the process in one call, demonstrating advanced product and vehicle knowledge; selling only what the business wants to sell.
